Save Records and Control Access

Know when changes are only in the open draft, how to save the collection, and how personal and shared access differ.

Creating or editing a record changes the open collection first. Select Save Catalog when the reviewed changes should be written to the active WorkStudio context. If you try to leave with unsaved changes, Records warns before discarding them.

Use File > Save Catalog to Computer when you need a portable .ca package. This is separate from saving the shared collection. Large exports show progress and may offer background preparation.

In Personal context, the collection belongs to your account. In Company and Project contexts, Admin > Rights > Catalog controls which record Types and supporting catalogs a user can read and which save, export, copy, or share actions are allowed. A user does not gain access to every Type merely by opening Records.

Home shortcuts are personal display preferences. Hiding a shortcut does not remove access, and enabling one cannot bypass Rights.
