QR codes on site: keep the link useful for the life of the asset

Design labels that lead to the right asset, current information and a usable fallback—not a forgotten PDF or an unprotected record.

A QR label can save a technician several minutes of searching. It can also send them directly to an obsolete drawing. The useful system is the relationship between the physical item, its identifier, the destination and the person maintaining that destination.

Start with a modest pilot: one equipment group, a defined reader and a clear task. “Open the current inspection record for this pump” is testable. “Make the building digital” is not a useful acceptance criterion for a label.

Decide what the code identifies

A product model, an individual installed asset and a room are different things. A manufacturer page may describe every pump of one type; the maintenance record must identify the particular pump installed in your building.

For a fictional pump P-014, keep separate fields for the internal asset identifier, manufacturer model, serial number and installed location. If a replacement pump is fitted, decide whether the identifier belongs to the physical equipment or the functional position. Otherwise its history can accidentally combine two different machines.

GS1 Digital Link provides a standard way to express GS1 identifiers in web addresses and connect them with information services. It is a useful reference for distinguishing identity from a destination. It does not mean every private building register needs a GS1 identifier. GS1 Digital Link URI syntax.

Point to a maintained record

A printed code containing a temporary file-sharing link will eventually become a maintenance problem. Prefer an address under an organisation-controlled domain that leads to the asset record. The record can then point to the approved drawing, inspection history and operating instructions.

Show the asset name, location, information status and revision visibly on the landing page. The user should be able to recognise a misplaced label. “Pump P-014 — basement plant room — current instruction revision 3” is more useful than opening a file with no context.

Keep current operational information distinct from historical records. Replacing the target PDF silently erases the context of earlier inspections; retaining history without marking the current issue leaves the technician guessing. The record needs both a clear current view and traceable previous versions.

A worked inspection journey

The technician scans P-014, confirms the plant-room location and checks the displayed serial number against the machine. They read the current procedure and record an inspection against the asset. If the label instead opens P-041 on another floor, they report the mismatch rather than attaching an inspection to the wrong item.

If there is no signal, the printed label still provides a readable identifier and a short address or contact route. Any downloaded instructions should show their revision and date; offline availability must not disguise a stale copy. Decide which tasks require confirmation of the current controlled instruction before work starts.

After replacement, retire or redirect the old record deliberately. A history page explaining that an asset was removed is better than a broken link, but it must not look like permission to service an asset still in operation.

Scanning must not bypass access control

A QR image can be photographed and shared. Treat its URL as public knowledge, even if the sticker is inside a plant room. Require the appropriate sign-in for restricted drawings, inspection submissions or personal information. An unpredictable address is not a substitute for permission checks.

The FTC documents QR phishing that sends people to credential-stealing websites. The construction application is straightforward: someone can place a replacement sticker over a legitimate label. Teach users to check the destination domain and report unexpected sign-in or payment requests. FTC: QR-code scam example.

Do not encode passwords, long-lived access tokens or personal data directly in labels. Keep a controlled label register so damaged, replaced and retired labels can be reconciled with the assets.

Test the label where it will be used

Check scanning distance, available light, glare, dirt, weather exposure and mobile connectivity with actual users. Provide readable text beside the symbol and a route that does not depend on using a camera. Make the destination usable with keyboard navigation, zoom and assistive technology.

Assign a named owner for the domain, record and periodic link checks. At handover, test a sample from physical label to correct current record, and test a deliberately retired item. Buying durable labels solves only the printing problem; keeping identity and information aligned is the continuing work.
